Malody takes data privacy and security very seriously. This policy explains how we collect, use and protect your data in line with the Personal Data Protection Act (PDPA).
1. Information We Collect
- Contact/subscription information: Business name, email, chat channel, demand for the selected plan
- Settings and account information: Information required to connect to the system (such as chat channel tokens, key/LLM access information provided by you)
- Information that you give the system access to during use: such as calendars, emails, documents, or financial information to the extent permitted by you.
- Bill and tax info: Name - address of registration, tax identification number when you request a tax invoice
2. Purpose of use of information
- To set up, provide, oversee and support your use of the AI Assistant System.
- To issue financial/tax documents and manage payments
- To communicate about services and safety
3. Data Processing & Consent
As AI assistants may access sensitive information (such as finances, emails, calendars), Malody will:
- Always obtain written consent and sign a data processing agreement (DPA) before beginning access to the actual data.
- Access the information only to the extent necessary to provide the service to the extent permitted by you.
- For sensitive data (such as finances), servers are used like Private (dedicated) Do not mix with other customers in the shared pool.

4. Storage and safety
- Encrypt sensitive settings and restrict access to specific administrators involved.
- Backup (backup) according to the package level to recover in case of an outage.
- When you cancel the Service, we will delete or return the information as agreed and according to the retention period required by law.
5. Disclosure to Third Parties
The Service relies on external service providers, some of which may be transmitted or processed by those service providers under their respective policies:
- Language model providers (LLMs) such as OpenAI (ChatGPT)/Anthropic (Claude)
- Chat Channels: Telegram, Discord
- Server provider (e.g. DigitalOcean)
- Payment service providers (e.g. Omise) and account issuance systems

7. Cookies and ad measures
In addition to the cookies necessary for the basic operation of the website, this website uses Meta Pixel and Conversions API of Meta (Facebook) to measure and improve ad performance by setting Meta cookies (e.g. _fbp, _fbc) and send usage event information (such as visits to interest pages, start/finish packages) to Meta with matching information such as IP numbers, browser information (user agent), and email/phone numbers in the form encrypted (hash) so that they are not directly identifiable, in order to measure conversions and target ads.
The legal basis is your consent, you can refuse/withdraw it through your browser's cookie settings or advertising settings in your Meta account without affecting the basic functionality of the website.
